How to buy a robot in the UK: the checks before you commit
A practical checklist for comparing the real purchase cost, deployment requirements, documentation and supplier support behind a robot quote.

A robot's headline price is only the start of a buying decision. The useful comparison is the complete route from delivery to dependable operation: the exact model and configuration, what arrives with it, what still needs to be bought, and who is responsible when the machine needs support.
This checklist is designed to help you turn a product page or supplier quote into a decision you can defend. It is practical guidance, not legal or tax advice.
Confirm the exact machine
Record the manufacturer, model, variant, condition and manufacturer part number. Small differences in compute, sensors, hands, batteries or software access can change what the robot can do and whether published demonstrations apply to the unit you are buying.
Ask the supplier to identify:
- the exact hardware and software configuration;
- every battery, charger, controller, tool and accessory included;
- any required subscription, licence or cloud service;
- whether the unit is new, used, refurbished or made to order;
- which official manual and safety documentation applies.
If a feature matters to the project, put it in the written specification. A video of another variant is useful context, not proof that the quoted unit includes the same capability.
Compare the complete price
Keep the equipment price, VAT basis, delivery, installation, training and ongoing services as separate lines. That makes two quotes comparable and exposes the parts that remain uncertain.
For each quote, capture:

Do not treat an omitted line as free. Mark it as unconfirmed and ask for it in the written quote.
Test the fit, not the demo
Start with the job and environment. Write down the payload, reach, runtime, floor or terrain, doorway and lift constraints, network access, operating temperature, audience proximity and the level of human supervision available.
Then ask the supplier to map each requirement to a specification, demonstration or trial. The important question is not whether the robot has performed an impressive action somewhere; it is whether the quoted configuration can repeat your required task in your environment.
For a high-risk or integration-heavy purchase, define a site survey, demonstration or acceptance test before the order becomes final. The test should name the task, success criteria, duration, permitted human intervention and evidence to be recorded.
Read the limitations and safety material
Request the official manual, safety guidance and emergency-stop procedure before purchase. Confirm the required clearance, supervision, training, floor and weather limits, charging arrangements and prohibited uses.
Descriptions such as “AI-powered” or “autonomous” are not operating modes. Establish whether each important behaviour is autonomous, scripted, teleoperated or dependent on a network service. This affects staffing, reliability, data handling and what happens when the robot encounters something unexpected.
Define delivery, acceptance and support
A useful order or quote states the expected lead-time range, delivery method, installation scope and the point at which the robot is accepted. It also identifies who owns the warranty relationship and how faults are handled.
Before committing, confirm:
- the expected dispatch or installation window;
- access, power and network requirements;
- the acceptance test and remedy if it fails;
- warranty duration, exclusions and responsible supplier;
- spare-part and battery availability;
- software update and security support;
- return restrictions for on-demand or configured equipment.
Decide whether buying is the right route
Buying makes sense when the task is repeatable, the team can support the machine and the expected use justifies ownership. A managed hire or pilot can be a better first step when the task, environment or operating model still needs to be proven.
Review robot ownership research, compare the current research catalogue, or read the hire-planning research. If the configuration or deployment remains unclear, ask for relevant research guidance; only a future authorised supplier or integrator can confirm a suitable configuration and commercial offer.
