Robot hire for events: choose the model by the moment
A practical selector for matching social humanoids, robot dogs, telepresence units and service robots to a specific event interaction.

The most impressive robot is not automatically the right event robot. A model that creates a strong ten-minute stage reveal may be a poor choice for an eight-hour exhibition stand. A robot that guides scheduled video calls may add little to a dance floor. Start with the moment you want guests to experience, then work backwards into the robot, control method and operating plan.
This is a model-selection guide, not a hands-on review. Capabilities linked below are manufacturer-stated unless we say otherwise. Final suitability depends on the exact configuration, software, operator and venue.
Start with the interaction, not the silhouette
Write one sentence that describes what a guest will do:
- “A host introduces a robot for a five-minute stage conversation.”
- “Visitors meet a moving character at scheduled points during the reception.”
- “Remote colleagues join conversations through a mobile video unit.”
- “Staff send drinks or samples between fixed stations.”
That sentence exposes the real requirement. “We need a humanoid” does not tell a supplier whether the robot must speak live, move through a crowd, follow a programmed sequence or simply look compelling on a plinth.
Then define success in observable terms. It might be completed hosted interactions, uninterrupted performance slots, remote calls connected or trays delivered between mapped locations. Avoid treating social impressions as proof of commercial results unless you have a measurement plan.

These are starting points, not endorsements. Engineered Arts presents Ameca as an expressive humanoid platform and separately offers robot rentals. temi describes its platform as an autonomous mobile personal robot with a screen, cameras and microphones; its developer documentation shows that integrations can extend beyond a basic video call. Pudu states that BellaBot supports mapped delivery with multiple trays and swappable batteries.
For dynamic robots, distinguish a manufacturer demonstration from an event-ready operating case. Unitree’s G1 page tells users to maintain a safe distance and notes limitations associated with an evolving humanoid product. Its Go2 page lists materially different configurations. Ask which version, controller and software will arrive; the family name alone is not enough.
For a deliberately theatrical format, compare autonomous platforms with an operated character such as Titan the Robot. An operated performance can be the more honest match when the brief is entertainment rather than unsupervised autonomy.
Score the shortlist across six dimensions
1. Attention pattern
Decide whether the robot must stop a room, sustain one-to-one conversation or quietly support staff. Large expressive machines can become a destination. Smaller mobile units can create repeated encounters. Neither is intrinsically better.
Map the audience too. Children may move unpredictably and try to touch a robot. A trade audience may want a technically credible demonstration. A private party may need a compact format that does not dominate the room. The HSE event-safety guidance recommends planning in proportion to the event, including its audience, location and duration.
2. Control and conversation
“AI-powered” does not answer how the live interaction works. Ask whether speech is scripted, selected by an operator, remotely voiced, generated, or a mixture. Ask who can interrupt it and what happens when the system cannot answer.
For movement, record whether the robot is autonomous, teleoperated, manually driven or following a fixed routine. Establish who has control at every stage and who can stop the activity. A convincing live experience often comes from clear human orchestration rather than pretending no operator exists.
3. Venue fit
Obtain dimensions for the robot in operating and transport states. Check every part of the route: loading bay, doors, corridors, turning areas, lifts, ramps, stage access and storage. Add the charging location and any control desk.
The HSE advises a preliminary venue assessment covering capacity, circulation, access and infrastructure. For a robot activation, annotate the venue plan with its operating zone, guest queue, operator position and retreat route. A showroom video cannot tell you whether a robot will cross your venue’s threshold.
4. Duty cycle
Ask for the expected operating period under the proposed configuration, not a headline maximum. Speakers, displays, movement, payload and network use can affect endurance. Establish the charging time, battery-change process and safe storage arrangements. Build the show schedule around conservative operating blocks and planned checks.
5. Integration burden
List what must be ready before arrival: content, logos, scripts, guest questions, video-call accounts, maps, network credentials or an API integration. Confirm what is included in the supplier’s scope and what requires a separate technical team.
If cameras or microphones are active, agree the purpose and handling of data before the event. A sign saying “AI robot” is not a privacy plan. The organiser, venue and supplier should know which features are enabled and what guest-facing information is needed.
6. Failure behaviour
Ask the supplier to describe likely failure modes in plain language. What happens after a lost network connection, localization error, low battery, blocked route or conversation failure? Can the robot be moved safely when powered down? Where does it go if the activation is paused?
HSE emergency-planning guidance recommends clear roles, effective communications and tested procedures. The response for a robot need not be dramatic: stop, isolate the operating area, move guests away and follow the supplier’s recovery procedure. It does need to be agreed.
Turn the choice into a testable brief
Give each supplier the same compact brief:
- The exact guest interaction and its scheduled frequency.
- Audience profile and expected density around the activation.
- Venue drawings, access constraints and floor conditions.
- Required dialogue, media, branding and integrations.
- Operating hours, breaks, load-in and load-out windows.
- Network and power available at the operating and charging points.
- The expected operator, steward and venue responsibilities.
- The fallback experience if a feature is unavailable.
Request the exact robot variant and a written scope. Manufacturer specifications can help screen candidates, but the supplier must confirm how its particular unit will be configured and supported.
