Robot event logistics checklist: venue to load-out
A stage-by-stage checklist for access, power, networks, operators, guest flow, fallback plans and event-day sign-off.

Robot event logistics begin before a model is booked. The goal is to prove that the exact unit can enter, operate, pause and leave the venue under a clearly owned plan. A polished show depends as much on access, communications and recovery as it does on the robot.
Use this checklist with the organiser, venue and supplier. Scale it to the event and the robot’s risk profile. It is operational guidance, not a substitute for the supplier’s instructions or a competent venue assessment.
Before requesting a final quote
Define the activation
- Write the intended guest interaction in one sentence.
- Record whether movement is autonomous, teleoperated, manually driven or scripted.
- Set the operating zone, planned appearances and expected crowd pattern.
- Identify required dialogue, branding, media, calls or integrations.
- Define a fallback that still has guest value if movement, speech or connectivity is unavailable.
If the model is undecided, use the event robot selector. Do not ask suppliers to quote “a robot for six hours” without saying what the robot must do during those hours.
Exchange exact equipment information
Ask the supplier for the model and variant, operating dimensions, transport dimensions, packed weight, case or trolley dimensions, turning needs, permitted surfaces, power requirements and planned control equipment. Obtain expected operating blocks and the charging or battery-change procedure for the proposed configuration.
Manufacturer information helps validate the request but does not replace supplier confirmation. Pudu’s BellaBot page, for example, publishes overall dimensions, load information and battery claims. Your supplier must still confirm the unit, payload, route and operating plan it is offering.
Make the commercial scope visible
Request an itemised scope showing:
- delivery and collection assumptions;
- included setup and testing time;
- included operator or technician hours;
- content or programming work;
- travel, accommodation or out-of-hours costs if applicable;
- charging equipment, barriers, staging or network equipment;
- extension and cancellation terms;
- what is specifically excluded.
Do not infer insurance, certification or venue acceptance from a logo or generic product page. Ask for the documents the venue requires and let the responsible parties assess them.
During venue approval
Walk the complete access route
Start where the transport vehicle can actually stop. Trace the route through loading controls, kerbs, ramps, doors, security points, corridors, lifts and backstage spaces to the operating position. Repeat it for load-out, which may use a different route.
Record:
- the narrowest clear opening and lowest clearance;
- lift car and door dimensions plus stated capacity;
- step, gradient and threshold details;
- surface changes, soft flooring and temporary cable covers;
- tight turns and places where cases must be reoriented;
- access booking, permits, escorts and time restrictions;
- secure storage for packing, batteries and tools.
Photographs with a measurement reference and an annotated plan reduce ambiguity. “Step-free” does not necessarily mean the transport case can make every turn.
The HSE venue and site-design guidance calls for early consideration of access, circulation, capacity and infrastructure. Treat the robot route as part of that venue picture.
Draw the live operating zone
Mark the robot, operator, guest, queue, stage and retreat positions. Protect exits and normal venue service routes. If the robot moves, show its permitted route and any no-go areas. If it remains static, allow room for guests to approach and leave without crossing cables or technical positions.
HSE’s crowd assessment guidance highlights crowd movement and the needs of different audience groups. Consider how children, wheelchair users, photographers and people who do not want to interact can pass through the area.
Agree venue interfaces
Name the organiser lead, venue duty manager, supplier lead, robot operator and stewarding lead. Record who approves:
- the final position and movement route;
- connection to venue power or networks;
- guest queue and barrier arrangements;
- activation start, pause, restart and end;
- changes made after the original plan.
Clear ownership matters because an operator can manage the machine without controlling the room, while a venue manager can manage the room without knowing the robot’s recovery procedure.
In the final planning stage
Lock the run of show
Include arrival, unloading, assembly, charging, mapping or calibration, technical rehearsal, doors-open state, every appearance, planned breaks, shutdown and collection. Build margin around access and testing; do not let guest arrival become the first live trial.
Create a contact sheet with primary and backup numbers. Decide the communication method among show caller, venue and operator. If radios are used, confirm channel allocation and whether the operator can use one while controlling the robot.
Validate power and batteries
Use the supplier’s stated requirements for the exact equipment. Confirm outlet locations and venue approval, cable routing, protection from guest traffic and the charging position. Record who handles batteries and what inspection, storage and charging instructions apply.
Do not create improvised charging arrangements on the day. If batteries are transported separately, establish the supplier’s transport process rather than assuming ordinary luggage handling is appropriate.
Validate networks and data features
List every function that depends on connectivity: remote control, cloud dialogue, video calls, content sync, telemetry or app login. Test the required network at the operating location with the intended device and account. Guest Wi-Fi may have captive portals, client isolation or congestion that a basic speed test misses.
For cameras, microphones or guest details, document which features are enabled, their purpose, access and retention. Send the venue and organiser enough information to complete their own privacy review. Disable unneeded data collection where the product and activation allow it.
Rehearse the fallback
Run a short test for lost connectivity, blocked movement, low battery, control failure and a guest entering the operating space. Confirm the stop control, who calls the pause, what is announced and where the unit is moved.
The HSE advises event organisers to develop incident and emergency arrangements, including responsibilities, communications and testing. The robot procedure should connect to the wider event plan rather than exist on a technician’s phone.
At load-in
Use a two-person sign-off between the supplier lead and event or venue lead:

If a late change affects the route, crowd, power or control method, record it and obtain approval from the appropriate leads. Do not let schedule pressure silently rewrite the operating plan.
While guests are present
The robot operator should concentrate on the robot. Assign a host or steward when guest flow needs active management. Watch for crowd compression, drinks near equipment, moved furniture, accumulating bags, children entering the route and deteriorating network or battery state.
Maintain a simple event log:
- start and stop times;
- battery or charging changes;
- faults, pauses and recoveries;
- changes to route, content or crowd controls;
- any guest or venue concern;
- final shutdown condition.
HSE guidance on managing an event recommends coordination, monitoring and clear contractor briefings through build, event and breakdown. A short accurate log supports that coordination without turning the activation into paperwork theatre.
At load-out and review
Close the guest experience before dismantling. Power down and pack the equipment using the supplier’s procedure. Keep cases and trolleys out of public routes until the agreed movement window. Confirm all batteries, accessories, controllers and venue equipment are accounted for.
Before the team disperses, record what changed and what should be repeated or avoided. Separate technical facts from impressions: “two network interruptions at these times” is more actionable than “Wi-Fi was unreliable.”
The organiser should retain the agreed documents and incident records according to its own process. The supplier should receive any issue relevant to inspection before the next deployment.
Copy this into the booking record
